Instant Reservation Quotes, Tax Exempt Reservations & Front Desk

We wanted to inform you of an upcoming release of Reservation Nexus this Wednesday, April 18th, 2007 around noon Mountain Standard Time.

WHAT IS IN THIS RELEASE?

This upcoming release has improvements to your Classic Edition of Reservation Nexus. The main new features are:

• Instant Reservation Quotes
• Tax Exempt Reservations
• Front Desk (replaces Checking in and Checking out)

LARGER TEXT SIZE

Several innkeepers have asked that we increase the text size of Reservation Nexus for easier reading. We have increased the text size as well as made it so that you can customize it to your needs even more through your browser settings, either larger or smaller. Having done this, don't be alarmed if there is a different feel to Reservation Nexus after the release on Wednesday that you just can't seem to pin down. It's the new text size.

INSTANT RESERVATION QUOTES

You can now very quickly provide a reservation quote over-the-phone without having to make a reservation. On the reservation grid, there is a new "Quote" button between Block and Repair. Simply click on the rooms the guest is asking about and click "Quote". In addition to seeing the reservation total and tax breakdown, you can add/remove rooms, retail items, discounts and packages.

TAX EXEMPT RESERVATIONS

There is a new "Tax Exempt" tab on reservations. It is on the bottom above the "Cancel" tab. Simply enter the guest's tax exempt ID and hit "Apply" and all taxes are removed from the guest's reservation.

Partial tax exemptions, where one tax is exempt, not all taxes, will still need to be handled manually by creating and using a custom retail item for that situation.

FRONT DESK & HOUSEKEEPING

We are replacing "Checking In" and "Checking Out" with an enhanced version called "Front Desk". Front Desk provides an all-in-one view of arrivals, departures, and stay-overs. It is similar to Housekeeping but displays arrival and departure times, and is sorted by guest name instead of room names/numbers. On both Front Desk and Housekeeping, the status of a room has now been changed so that the room status remains the same until you change it. This allows you to know at a glance whether a room is dirty, ready, etc.

"Checking In" and "Checking Out" will remain available for the next couple of weeks for transition purposes and then they will be removed.

OTHER CHANGES

• On the reservations grid, the yellow weekend highlight now extends to both the top and bottom bars for easier viewing if the weekend is full.
• We have revisited the Room Revenue Report. By default now, discounts are now taken into account. You can still view gross room revenue, where discounts are not subtracted, through a checkbox option.
• Comped discounts are now associated with comped rooms.
• Room numbers now do not appear in the guest's confirmation email if you have specified so in your guest reservation settings.
