Frequently Asked Questions

How do I make a long-term reservation?

Add Room    If you don't want a guest to book a long-term reservation online, you can limit the maximum number of nights a guest can book online. Log on to Reservation Nexus and go to Settings -> Guest Reservations. The maximum number of nights you can enter is 100.

Making a long-term reservation with Reservation Nexus follows the same guidelines as any other reservation.

For a refresher on how to take a phone reservation click here.

Or you can direct the guest to your Online Reservation System to book a long-term reservation provided the room is available.

Is there a less time-consuming way to book a long-term reservation instead of clicking on each date on the 3 month calendar?

Select the start date of the long-term reservation on the 3 month grid  Calendar and then click on the "Quote" button above the grid. Below pricing, click on "Add Room". This will open the ADD ROOM page. Below the calendar on this page, are some drop-down boxes. Use the Nights: drop-down box to select the number of nights for the reservation and then Capacity: to select the number of guests.

Checkpoint

If the room selected cannot be booked for the number of nights you selected, then it will show up at the bottom of the ADD ROOM page with an x next to it. There are several reasons why a room may not be available. It may have already been booked or a guest may have booked online before you. Always check on the 3 month grid  Calendar that a room is available for the number of nights requested before beginning this process. However, you can also use the back button on your web browser to back out of the system and return to the grid to see if the room has been taken.

Otherwise, click  Save  and continue booking the reservation.

How do I group together revenue specifically so that my reports will show all revenue generated from long-term reservations?

Some innkeepers make most of their revenue from long-term reservations and want to see how much of their revenue is generated from long-term reservations versus short-term reservations. This is easier if you don't offer a lot of retail items. What you will need to do is create a retail item and then add that retail item to long-term reservations when they are booked.

Log onto Reservation Nexus and go to Settings -> Retail -> "Add Retail Item". Name the retail item something like Long-term Reservation or Monthly Reservation. Leave the price box empty and unselect the taxes. Click  Save.

Then when you book a guest by phone or a guest books a long-term reservation online you just have to add the retail item to the reservation. You can do this from the Guest Summary page when you open any guest reservation. If you have already opened a guest reservation click on the blue Retail tab on the right hand side of the page. Click on Add Room. Select the retail item you created for long-term reservations and then input the total for the reservation into the Adjust Price: $ box. Then click Add Room.

Once you add this retail item, the additional price will be added to the guest's payments. It will be up to you to charge the guest for the room price only. For an innkeeper who takes a lot of long-term guest reservations, this shouldn't be too time consuming.

Now when you log onto Reservation Nexus and go to Reports -> Revenue: Retail. Here you can see how much of that revenue was generated from long-term reservations when comparing this total to Revenue: Room.
