How do I collect automatic deposits?

Checkpoint  Automatic credit card processing is a feature of Auto Pilot which is an additional enhancement to Reservation Nexus. Click here to view more information about Autopilot.

You can configure Reservation Nexus to have the ability to charge credit cards, place holds and refund charges. This saves you time, secures funds and allow you the ability to collect revenue even when you are away from the office. Once you log into Reservation Nexus go to Settings -> Credit Card Processing. The following page will appear:

Scroll down to the bottom of the CREDIT CARD PROCESSING page to Options and you will see a checkbox "Automatically collect a deposit of:". Check the box and this will allow you to automatically collect a deposit when a guest books with you. You can collect either a percentage of the total or a flat dollar amount. This box must be selected in order for you to receive any sort of automatic payment.

If you choose to collect a percentage of the deposit, then you will need to manually process the rest of the payment when the guest checks in. This is very easy to do. Since you should already be logged in to Reservation Nexus go to the Reservations page by clicking Reservations at the top of the tool bar on the left hand side of the browser. This will open the RESERVATIONS page and in that same toolbar you will see Rooms, Search, Housekeeping, and Calendar. Click on "Search" and the following page will appear:

You should be very familiar with this page. The SEARCH page allows you to look up a reservation by entering the guest's phone number, name or reservation number. Reservations in RED were cancelled.

Click on the reservation number highlighted in blue of the reservation you want to collect a payment on. A summary of the guest's reservation will pull up. This page features all of the Reservation Information the guest gave when booking with you. Click on the Pay Now button highlighted in neon green and the following page will pull up:



Add Payment



This is the ADD PAYMENT page. Note here there are two types of information. The first displays method of payment, amount of payment, date and the person who made the payment as well as approval code and gift certificate number. The second part of information on the ADD PAYMENT page displays the guest's Reservation Information including the guest's contact information, which dates the guest is staying, taxes applied, and the sub-total due minus any automatic deposits you collected at the time the reservation was made.

At the bottom of the ADD PAYMENT page under Details, the amount that is Due: is what the guest has left to pay for their reservation. The amount due should be the same as Amount: $ at the top of the page. Click "add" when you are finished and then click "Save" on the following page.
