How do I set up automatic credit card processing?

  Automatic credit card processing is a feature of Auto Pilot which is an additional enhancement to Reservation Nexus. Click here to view more information about Autopilot.

You can configure Reservation Nexus to have the ability to charge credit cards, place holds and refund charges. This saves you time, secures funds and allows you the ability to collect revenue even when you are away from the office. In order to set up automatic credit card processing, log into Reservation Nexus and go to Settings -> Credit Card Processing. The following page will appear:

Notice the first box labeled Gateway. To charge credit cards, Reservation Nexus uses what is called a �credit card gateway�. This gateway communicates with your current credit card processor so that charged funds appear in your bank account just as if you were to swipe the card. To view your activity, you log into their website service instead of printing out a report from your card machine.

Next, to set up automatic credit card processing you will need to obtain a VAR sheet from your processor. A VAR sheet is a parameter sheet which includes details such as Merchant ID, Terminal ID #, etc.

Once you have obtained a VAR sheet from your processor, call your Red Carpet Professional and your Red Carpet Professional will have you fax your VAR sheet to our office and set up a time to train you to use automatic credit card processing. Before your Red Carpet Professional takes you through your training we will set up Authorize.net as your payment gateway. Reservation Nexus uses Authorize.net as a payment gateway because almost every processor integrates with them.

Check the box Use Authorize.net as my gateway. You will receive an email when your set-up with Authorize.net has been completed. This email will contain an account verification link redirecting you to Authorize.net to finalize your account set-up. Your Red Carpet Professional will call you once your Authorize.net account has been set up to take you through your training and to help you finishing filling out Gateway on the CREDIT CARD PROCESSING page.

Below Gateway there a couple of different options available to you with automatic credit card processing. Take a few minutes to read through the Options available to you.

The last checkbox in Options allows you to automatically collect a deposit when a guest books with you. You can collect either a percentage of the total or a flat dollar amount. Or you can collect the first night's rate. Note that tax is not included if you decide to automatically collect the first night's rate. Also all retail items and gift certificates are auto collected up front except when collecting a percentage.

Click "Save" when you are finished.
